|
The Office of Accounting & Audit is happy to announce a new procedure for Requisitions/Purchase orders. The manual process of creating a Requisition/Purchase Order has been replaced with entering a Requisition in Self-Service.
The instructions to Create a Requisition and Approve a Requisition in Self-Service are located on the Accounting & Auditing department page on the UE Portal.
Currently there is a limitation with Fixed Assets. If you have a Requisition/Purchase Order that requires a Fixed Asset object code (16XXX), please contact Rhonda Spaulding at rs345@evansville.edu or Cathy Huestis at ch351@evansville.edu.
If you are submitting a Requisition for Publications, please continue to “Create a Marketing Request”. Theresa Hoffherr will enter all Publication Requisitions in Self-Service.

New Pcard Reconciliation Submission Form & Pcard Audit Policy Updates
|
|
Effective immediately the monthly cycle reconciliation process is being simplified for cardholders via a New Pcard Reconciliation Submission Form (PRSF) process as the June cycle ended on June 21 at midnight. The new PRSF process replaces paper Pcard envelopes, paper receipt submissions, individual email submissions and uploading of receipts to SDG2. In addition, the Pcard Audit Policy has been updated.
New Pcard Monthly Reconciliation Overview
Cardholders will complete a Microsoft Flow “Pcard Reconciliation Submission Form” (PRSF) located at: https://forms.office.com/r/MgwDLQvwte and attach the expense report and receipts via PDF (which have been combined into one PDF). Once the form is completed and submitted, it forwards to the cardholder’s Supervisor for review and approval.
A PcardNews email has issued to all cardholders with PRSF instructions. PRSF instructions are also posted and available on the My Portal Pcard website under the “Forms & Instructions”, tab at https://myue.evansville.edu/DepartmentPages/AdminSvcs/Pages/Pcard.aspx.
Pcard Audit Update
Effective with the PRSF process change, please note the following Pcard Audit Policy update. When cardholders do not submit the Pcard Reconciliation Submission Form along with their expense report and receipts in one combined PDF file to Accounting & Audit by the deadline, the cardholder will be notified via email to submit. After one complete cycle is missed, a Pcard will be suspended until the reporting requirement has been resolved by the cardholder. Repeatedly missed Pcard cycle submissions will result in termination of Pcard privileges.

Say Good-Bye to Pcard Envelopes in June
|
|
There is a new, easier PCard submission process starting with this June cycle. You will just need to reconcile the report in SDG2 and then submit a combined PDF with the report and receipts through a new online form. This eliminates two steps, no more PCard paper envelopes or uploading receipts to SDG2. Please contact Accounting or Administrative Services with questions. We hope this improves your Pcard experience!
The new PCard submission form can be located at this link. https://forms.office.com/r/MgwDLQvwte Full instructions have been emailed to cardholders and can be found on the MyUE portal.
